1Executive Summary

The two markets present different problems, and this proposal treats them differently.

Saudi Arabia is a zero-to-one launch. There is no existing system, and the business opens in two months. The platform described here is the operational infrastructure DermaPro launches on, and Phase 1 delivers exactly what is needed to trade from day one — clinical, retail, and financial operations running on one system, fully compliant including ZATCA and Zakat from the first day of business.

Phase 2 matures that platform. The ERP and HIS setup on Frappe is deepened for operational excellence, and e-commerce, loyalty, and the full PDPL-compliant martech stack come online — moving the system from supporting day-to-day operations to actively driving growth.

Lebanon is an operational unification. The business already runs, but across disconnected tools, with no single view of a customer and no shared record between the clinic and the store. Phase 3 brings those operations onto the same platform already proven in Saudi — a migration and reconfiguration, not a second build.

Phases 1 and 2 together form the Saudi engagement at $75,000 and are the minimum commitment. Lebanon is priced separately at $15,000, and can be included within this engagement or contracted as a standalone engagement later.

WHY NOW
The Saudi opening date is fixed, and the business cannot trade without this system in place. Sequencing Saudi first — and deliberately deferring e-commerce out of Phase 1 — is what makes a two-month launch achievable without compromising compliance.

2Objectives

Three outcomes, each carried by one of the three components in Section 3.

ObjectiveOutcome
2.1 Unify clinical, retail, and financial operations Patients, inventory, sales, and accounting run on a single platform. Nothing is reconciled by hand across departments.
2.2 Build a digital experience clients use across their entire journey From booking and consultations to purchases and rewards, every touchpoint lives in one app.
2.3 Turn every customer interaction into an opportunity for growth Customer data feeds targeted campaigns and personalized outreach across every channel.

3Project Components

One system connects every part of the business — the clinic, the store, the client's phone, and the marketing behind it all — so nothing runs in isolation.

3.1Frappe Enterprise Core $31,000

Patient records, inventory, sales, and accounting all run on the same system. Healthcare, HR, and loyalty data stay connected, not scattered across separate tools.

CapabilityDescription
ERP CoreInventory, POS, accounting, procurement, and HR run on one connected system, including healthcare consultations, procedures, and lab work. Retail, clinical, and staffing costs all tie into a single set of financials, with every sale posting to the same books. Includes implementation of a suitable Saudi Payment Gateway.
Healthcare SystemPatients, appointments, and clinical notes are stored in one record. Every booking and encounter attaches to the same patient timeline, giving staff a continuous history from a patient's first visit onward.
Loyalty + MembershipPoints, tiers, and redemptions are tracked automatically. Every order and appointment updates a customer's balance in real time, so rewards stay accurate everywhere they interact with the clinic.
Saudi ComplianceZATCA e-invoicing and Zakat handling are configured as part of the initial launch, not deferred. DermaPro operates compliantly from the day the system goes live.

3.2Web + Mobile App $34,500

One app for booking, buying, and tracking every reward — in Arabic and English.

CapabilityDescription
Marketing PagesService pages, practitioner profiles, and campaigns are managed through the CMS. Content updates go live without any developer involvement.
Appointment Booking + HistoryClients book by service, practitioner, or branch with live availability pulled from Frappe. Past visits, upcoming appointments, and rescheduling are all managed from one screen.
E-CommerceClients browse and purchase products directly in the app, with stock checked in real time. Every order syncs straight into Frappe, keeping inventory accurate across the counter and the store.
Profile, Loyalty and MembershipsClients view their health profile, membership status, and loyalty balance in one place. Points and rewards update automatically as orders and appointments are completed.
NOTE
A complete bilingual design system is produced ahead of development, so Arabic and English are handled from the start rather than retrofitted, and web and mobile stay aligned to one source of truth.

3.3Growth & Martech $9,500

Customer data flows into a CDP that powers automated campaigns and messaging. Reception calls and outreach run through that same connected platform.

CapabilityDescription
Product AnalyticsEvery interaction across the app and web is tracked in one place. This data feeds segmentation and personalization across every other growth tool.
Infobip ImplementationCustomer data, campaigns, and conversations run on one platform. The CDP unifies customer profiles, Moments automates personalized campaigns, and Conversations manages messaging across every channel.
Ziwo ImplementationReception and follow-up calls run through one connected phone system. Call data feeds back into the customer profile alongside every other interaction.

3.3.1Platform selection

Both platforms were selected for regional fit as much as capability. Operating in Saudi Arabia places obligations on where customer data sits and how it is processed, which rules out a number of the standard Western martech tools.

PlatformWhat it doesWhy selected
Infobip
CDP · CPaaS
A single platform covering customer data and every messaging channel. The CDP unifies profiles drawn from Frappe, Moments builds and automates campaigns against those profiles, and Conversations gives reception one inbox across WhatsApp, SMS, and email. Regional data residency options that support PDPL obligations for Saudi customer data, and an established in-market presence across the Gulf. Consolidating the CDP, campaign automation, and messaging with one vendor avoids maintaining three separate integrations back into Frappe. Notte Labs has prior implementation experience on the platform.
Ziwo
Voice
A cloud contact centre for reception and follow-up calling. Agents work from the browser, calls are logged against the customer record, and an open API feeds call activity back into the same customer profile as every other interaction. Built for the MENA market, with regional infrastructure and local numbering rather than a Western platform adapted after the fact. Integrates into the wider stack instead of sitting apart as a standalone phone system, so voice contact is visible alongside messaging and purchase history.
LICENSING
Notte Labs implements and integrates these platforms. Infobip and Ziwo subscription and usage fees are contracted and billed directly by those vendors and are not included in the figures in this document.

4Delivery Approach

The initial focus is getting DermaPro live in Saudi within two months, on the minimum system needed to operate. From there, we mature the platform's operations and digital capabilities before rolling the same system out to Lebanon.

4.2Phase rationale

PhaseRationale
Phase 1
Saudi
Core Frappe and the app go live first, fully compliant for Saudi from day one, including Zakat. E-commerce is deferred so the team can launch fast.
Phase 2
Saudi
The ERP and HIS setup on Frappe is matured for operational excellence, and the platform gains e-commerce, loyalty, and a complete PDPL-compliant martech stack.
Phase 3
Lebanon
The same platform rolls out to Lebanon, unifying operations that currently run across disconnected tools. Migrated and reconfigured for local requirements — implementation and go-live, not a rebuild.

5Timeline

Six months end to end across all three phases, with Saudi operating from the end of Month 2.

7Payment Schedule

At Kick-Off
$25,000
Engagement begins across all three components.
Phase 1 Delivery
$25,000
Saudi go-live readiness, compliant and operating.
Phase 2 Delivery
$25,000
Saudi digital maturity, e-commerce and growth stack live.
Phase 3 Delivery
$15,000
Lebanon implementation and go-live.

Payment is structured across four milestones tied to delivery, not time. Phases 1 and 2 make up the core Saudi engagement and are the minimum commitment required to move forward. Lebanon can be included from the outset or scoped as a separate engagement once the Saudi platform is live.

8What's Included

All figures cover design, engineering, configuration, delivery, and training. Team training is delivered live in role-based sessions timed to go-live readiness, rather than handed over as documentation at the end.

SessionCovers
System administrationPlatform configuration, users and roles, branch settings, notification templates, and the CMS editing interface. For designated administrators.
Clinical & receptionScheduling, check-in, intake review, clinical notes and sign-off, document handling, and the patient timeline. For clinical and front-desk staff.
Finance & operationsInvoicing, POS, inventory and stock movements, purchase orders, loyalty administration, and management reporting. For finance, management, and operations.
NOTE
Training is a priced line item in both engagements — within Frappe Enterprise Core for Saudi (Section 6.1), and within Lebanon ERP Implementation for the Beirut and Dbayeh teams (Section 6.2).

9Out of Scope

The following sit with DermaPro and are not included in the figures in this document.

Hosting & infrastructure

The Saudi instance is deployed on a dedicated Saudi-region environment to satisfy PDPL data residency. Lebanon runs as a separate environment with its own cost.

≈ $300–500 / month per instance
Cost not scale linearly with user count

Third-party SaaS

Push and email delivery, CMS hosting, and app store accounts. The platform is built to work with these; their subscriptions are not included.

≈ $300–700 / month

Infobip & Ziwo licensing

Subscription and usage fees for Infobip's CDP, Moments, and Conversations, and for Ziwo's voice platform, are contracted directly with those vendors.

Infobip: SAR4,500 initiation fee + ~USD665 per month for estimated use-case* (2,000 MEP + 3 seats on conversations)
ZIWO: SAR 1,500 setup fee + USD 45/seat/month (no API) or USD 100/seat/month (with API)

Copywriting & visual assets

Service descriptions, editorial, campaign copy, practitioner biographies, and all photography and video. DermaPro provides copy and imagery; we implement and integrate them.

Travel & on-site attendance

The engagement is delivered remotely. Where on-site attendance in Saudi Arabia is requested or required — for kick-off, training, or go-live support — flights, accommodation, ground transport, and visa costs are billed to DermaPro at cost, agreed in advance of each trip.

10Assumptions & Next Steps

10.2Next steps

1

Decision in principle

Confirm whether to proceed with the engagement and whether the Lebanon phase is included now or deferred. This serves as the go/no-go decision.

2

One-week discovery sprint

Following approval, we conduct a focused one-week discovery sprint to define the requirements for the initial launch, validate scope, establish phase durations, confirm project ownership, and agree on the target go-live date.

3

Final timeline and contract

The discovery outputs are used to finalize the implementation timeline and prepare the contract for countersignature.

4

Countersign and kick-off payment

$25,000 releases the engagement across all three components and kicks off delivery.
